About the role
We are seeking a highly organized, proactive, and strategically-minded Executive Operations Associate to act as a force multiplier for our Chief Revenue Officer (CRO). This is not a traditional administrative role as it blends executive operations, strategic project management, and cross-functional leadership. You will serve as the operational and communication hub for the CRO, ensuring the smooth execution of key initiatives, managing global workflows, and helping the Revenue organization deliver repeatable, data-driven results. The ideal candidate is a master of organization and execution, capable of managing complex scheduling and administrative tasks flawlessly. At the same time, you possess the foresight and communication skills to act as a strategic liaison, ensuring information flows seamlessly, key initiatives are tracked. You will be instrumental in fostering clear communication and operational rhythm across a dynamic, globally distributed team.
Missions & Responsibilities
Executive & Operational Excellence
● Act as the executive's primary partner, blending flawless administrative execution with a light chief of staff capacity to ensure smooth communication and operational tracking.
● Manage all scheduling and logistical coordination on behalf of the Executive, including a complex and dynamic calendar across multiple international time zones, and all domestic and international travel arrangements.
● Own team administration processes related to HR, Compliance, and Finance:
○ Ensure timely execution of HR processes (reviews, hiring, onboarding/offboarding) and compliance with Kaiko’s policies.
○ Serve as a compliance liaison for the Revenue organization — ensuring timely completion of trainings, system migrations, and other required processes.
● Partner closely with the Finance and Administration teams to coordinate budgeting cycles, maintain process discipline, and resolve cross-departmental issues efficiently.
● You will be a relay to Finance for the global Revenue group: you will coordinate budgeting as a project, ensure CRO guidelines are implemented by the respective budget owners, ensure the timelines are respected and the process is flawless with Finance. You will also be in charge of the relationship with Finance, working closely with our VP Finance and his team, and acting as a liaison in case any frustration arises to resolve it, ensuring that both Revenue and Finance team operate jointly as flawlessly as possible.
● Prepare for key meetings by organizing agendas, compiling briefing materials, and ensuring all necessary information is available in advance, and attend critical meetings when required on behalf of CRO, to track action items, or report any element requiring attention, acting as a relay and representing the CRO in cases of timezone or agenda conflicts.
● Plan and execute all internal team events, from small gatherings to larger offsites, both domestically and internationally.
● Collaborate with the growth team on the planning and execution of key external events deemed critical and strategic by the executive.
Strategic Leadership & Program Management
● Act as an extension of the CRO, supporting strategic planning, OKR execution, and performance tracking across the global Revenue team.
● Partner with the CRO, and leadership peers to define and run the CRO-level OKR process — ensuring progress visibility, accountability, and alignment.
● Lead and monitor cross-functional initiatives that enable growth and operational excellence across Sales, Growth, and Partnerships.
● Develop, run, and track the outcomes of CRO Quarterly Business Reviews (QBRs) and other key forums.
● Partner with Finance, Sales Strategy & Analytics, and Operations teams to drive forecasting, reporting, and data-informed decision-making.
● Support the preparation of Board materials, investor updates, strategic presentations, and executive communications.
● Conduct primary research, synthesize insights, and prepare executive briefings for high-stakes meetings with clients, partners, and industry stakeholders.
● Drive follow-up and accountability for key decisions and action items across the Revenue organization.
Operational & Communications Hub
● Serve as a central point of contact and communication gateway between the executive and the wider team, ensuring clarity and alignment.
● Synthesize information, relay critical messages, and provide concise briefings to the executive to keep them informed of progress and potential roadblocks.
● Track key projects and strategic initiatives on behalf of the executive, gently nudging stakeholders for updates to ensure momentum is maintained.
● Assist in the preparation of internal and external communications, including presentations, company-wide announcements, and reports.
● Anticipate the needs of the executive and their team, proactively solving problems and addressing issues before they escalate.
About you
● An Organizational Powerhouse: You have 3+ years of experience in a executive operations, business management , or junior chief of staff role supporting senior leadership.

● A Superb Communicator: Your written and verbal communication is clear, concise, and professional. You have high emotional intelligence and can adapt your communication style to different audiences.

● Proactive & Resourceful: You don't wait to be told what to do. You are a naturalproblem-solver who thinks ahead and takes initiative.
● Globally Minded: You have significant experience working with distributed teams across various time zones and demonstrate a high degree of cultural awareness.
● Tech-Savvy: You are highly proficient with modern productivity tools, including Google Workspace, Slack/Microsoft Teams, and project management software (e.g., Asana, Trello, Notion).
● A True Partner: You possess a "no task is too small" mentality and are driven by the success of the person and team you support.
Preferred Qualifications
• Bachelor’s degree in Business Administration, Finance, or related field.
• Prior experience in a fast-scaling SaaS, fintech, or data organization.
• Proven experience collaborating with C-level executives.
• Strong analytical, organizational, and project management skills.
• Excellent stakeholder management across all levels of the organization.
• Comfortable engaging with Board-level and investor audiences.
