The Role

We are seeking an event / project manager to assist with the production of commercial partnership events on a freelance basis. The average project length is 8-12 weeks and consists of end-to-end event management. Directed by our Experiences team, the project manager will be responsible for site assessment and management, securing necessary special event permits and licenses, production management and coordination of audio, lighting, staging, and staffing, coordination of marketing deliverables, event logistics, and day of event execution.

For this freelance project manager position, we are offering a $1,100 - $1,500 flat rate based on experience and qualifications. This role will involve helping us carry out an open-to-the-public music event in a park, most likely located in Sag Harbor, on a Saturday in late June or early July. You’ll be working directly with our team, and we anticipate 3 - 4 hours of work per week leading up to the event (6 weeks), with approximately 5 hours required on the day of the show. Expected deliverables are as follows:
  • Completing permitting forms for the park
  • On-site venue visits to scout out spaces we deem as possible locations for the event
  • Lining up local staffing and production. Including sourcing an audio engineer with equipment for the event.
  • Being on-site and running the actual show day of (most likely from 3:30pm - 7:30pm on a Saturday)

Responsibilities:

  • End to end project management on branded event activations for Sofar.

  • Liaising between client, agency(s), talent and local Sofar City Teams.

  • Venue procurement in collaboration with Sofar City Teams.

  • Event staffing in collaboration with Sofar City Teams.

  • Coordination of audio, visual, and staging elements.
  • Content production and release.

  • Rights negotiation and clearances with talent based on needs, wants and budgets.

  • Leveraging events for maximum amplification pre, during and post event across multiple media platforms - drawing on internal PR, Social, and Tech resource.

  • Full accounting and reporting.

  • Full KPI tracking and reporting.
