Role Overview:
We are seeking a skilled and motivated individual with a strong passion for HR Operations nurturing Opensignal as a Best Place to Work. This position plays a key role in creating and maintaining a positive seamless employee experience by managing projects that enable our function to operate most effectively to deliver value to the business. The ideal candidate will have a passion for leveraging data and analytics to drive insights and decision-making in HR. This position reports to the Senior Manager, People Operations and offers an opportunity to shape the future of our people operations function and contribute to the overall success of our organization.
Systems and Analytics Ownership:
- Ownership of HR systems and analytics initiatives
- Collaborate closely with People and IT teams to evaluate, select, implement, and enhance HR systems, such as HRIS, ATSt, and learning management systems, ensuring alignment with organizational needs and long-term strategy.
- Continuously identify opportunities for process automation and improvement, leveraging innovative technology solutions to streamline HR processes, enhance operational efficiency, and optimize employee experiences.
- Utilize the capabilities of the HRIS to generate meaningful People analytics, reports, and dashboards.
- Extract and analyze data to derive actionable insights, trends, and metrics that inform decision-making and drive strategic HR initiatives.
- Develop standardized and ad-hoc reports to meet the information needs of stakeholders at various levels of the organization.
Employee Experience Operations:
- Own the operational components of Onboarding, Employee Experience and Exit of the Employee Lifecycle; collaborating with relevant teams (IT, L&D etc) and working in collaboration with managers to ensure new hires are set up for success.
- Identifying opportunities for streamlining process and automation.
- Owning our visa sponsorship applications that may be required and managing reference checks and background checks.
- Administer enrollment of group benefits across the global teams.
- Point of contact for day-to-day employee queries
- Track and Managing the process for learning budget requests and provide key insights to the Learning & Organizational Development lead.
- Establish and nurture strong relationships with key stakeholders, including HR leadership, cross-functional teams, and external partners, building trust and credibility as a partner.
Project Management:
- Oversee complex and strategic HR projects throughout their lifecycle, from initiation to successful implementation, ensuring alignment with organizational goals and objectives; (2023-24 focus) HRIS Implementation (UKG)
- Serving in a core project role to prepare for the implementation (Data Clean-Up, Process Mapping) and translating functional requirements into technical specifications via information gathering, workshops, sessions and interviews.
- Maintaining and administering ad hoc report writing tools for end users; training and assisting users of those ad hoc report writing tools.
- Oversee data management processes within the HRIS, ensuring data accuracy, integrity, and compliance with privacy regulations. Establish data governance frameworks and protocols to maintain data quality standards. Implement and monitor data security measures to protect sensitive employee information.
- Collaborate with HR and IT teams to implement system updates, customizations, and integrations, enhancing functionality and user experience. Drive process automation initiatives within the HRIS to streamline workflows and improve operational efficiency.
- Develop training programs and resources to educate HR and non-HR users on HRIS functionality and best practices. Provide ongoing support and troubleshooting assistance to users, ensuring they effectively utilize the system and resolve any technical issues. Act as a subject matter expert for HRIS-related queries and provide guidance on system usage and navigation.
- Ensure HRIS compliance with applicable laws, regulations, and internal policies. Collaborate with HR and legal teams to define and implement data privacy and security measures. Prepare for and support internal and external audits related to HR data and processes, ensuring adherence to compliance requirements.
What we need from you:
- 2-3 of experience working in a Global Human Resources function or related field
- Experience managing projects, overseeing analytics and navigating regional differences in global employment law (US, Canada, UK and Singapore), strongly preferred.
- Demonstrating an ability to manage multiple priorities and deadlines in a dynamic high growth remote/hybrid environment; collaborating across time zones and with an ability to flex as needs change.
- Proactive curiosity - you are not afraid to ask for help and will seek clarification if actions, progress or outcomes are not clear.
- Strong attention to detail and an affinity towards creating organization, structure and process.
- Strong creative problem-solving skills, with the ability to identify and resolve issues in a timely manner, showing creativity and resilience in your approach.
- Ability to work independently in a confidential and professional manner; previous experience managing sensitive information
- You are approachable, open-minded with a positive can-do attitude; you care about what you do and enjoy making others feel welcome and supported.
- Excellent communication skills, both written and orally; communicating professionally with employees, members of the senior management team and external suppliers won't phase you.
- Familiarity with Google Suite and Microsoft Office Suite; working with new tools is exciting for you.
