Job Summary
As the Workplace Assistant you will play a crucial role in maintaining and delivering an exceptional and welcoming experience for employees and visitors to the Depop HQ in London, from arrival to departure. You will execute on Depop’s front of house experience, making sure everyone that comes into London HQ feels truly hosted and connected to Depop’s brand, and leaves with a lasting impression.
You are someone that cares about the finer details and wants to make sure everyone is having the best experience. You are a highly organised, collaborative and creative team player, who can adapt style and tone effectively to welcome and engage with all. You constantly seek out improvements and take initiative where you feel things could be improved.
You’ll also assist in making sure our wider workplace is set up to the best it can be each day to support a smooth, productive and energising day for everyone. As well as delivering an outstanding office experience, you are a true team player and Depop culture carrier, willing to step in where needed to make sure the Workplace team delivers on projects and goals together.
Key Responsibilities:
Front of House
Welcome employees and visitors into the office space. Ensuring visitors have a smooth experience, are registered, taking coats and bags, signposting our amenities, and offering a drink while they wait for their host.
Maintain security duties throughout the day to ensure our Workplace stays safe and secure in close partnership with wider Security & Building teams.
Ensuring front of house and the wider office is ready to receive staff and visitors for the day. E.g. turning on TV Screens, checking our meeting spaces & AV are operational, the office is clean and presentable, and clutter-free.
Coordinating the front kitchen & bar areas, restocking snacks, drinks and crockery, and supporting our cleaning team with loading/unloading the dishwasher to keep the bar tidy at all times.
Facilities & Maintenance
Logging and highlighting maintenance issues to appropriate teams for resolution.
Support the Workplace Operations Specialist when needed, and have the ability to lift and move objects (e.g. chairs, tables, boxes) up to 15KG safely.
Collaborate with cleaners and contractors to uphold a high standard of cleanliness, organisation, and safety in the office, ensuring a functional space for all employees.
Adjust air-con systems when needed to get the temperature just right.
Workplace Support
Ordering office supplies, ensuring fully stocked kitchens, bathrooms, and stationary cupboards.
Support with workplace finance operations - updating the team budget spreadsheet with spend, uploading invoices, raising purchase orders, and making payments using our team credit card.
Supporting shipping, postage and courier requests.
Work closely with the IT team to ensure all meeting room systems are in working order.
Embrace the Depop culture, understanding its nuances, and actively contribute to maintaining a positive, productive and inclusive working environment for our people.
Coordinating vendors and external partners for catering, maintenance, health & safety, and deliveries.
Assisting with cross-functional People & Culture & Impact projects as needed to enable employees to do their best work.
Workplace Tours & Events
Assist with office regular tours and inductions for new joiners.
Support the execution and setup for internal events such as quarterly All-Hands, monthly breakfasts and other connection moments that contribute to our culture and workplace experience.
Required qualifications & experience:
As a critical, office-based role, we require someone who can be at Depop HQ 5 days per week.
Strong customer-service & hosting skills and creating great experiences for others.
Excellent written, verbal & visual communication skills with good attention to detail.
Strong time management, organisation & prioritisation skills
Experience using G-suite & Slack, and dealing with invoices/payments.
Ability to work as part of a busy, people-facing team.
Ability to stay calm under pressure and have unwavering customer focus.
A great eye for detail and improvements.
Passion for fostering a positive and inclusive workplace culture.
Not required, but a bonus if you have:
Experience hosting or working in a fast-paced tech/fashion environment
Experience of an office environment and dealing with contractors and facilities issues.
