The plans for 2024 and beyond are as exciting as they are delicious - growing the product range to serve a growing community and expanding the production space in Blackhorse Road (The Greenhouse).


The role:

Do you love helping people and making their lives easier? If yes, this role might be the one for you! We are on the hunt for our first Team Assistant, to support across Operations, Finance, and People teams to be more effective by streamlining and executing key administrative tasks.


You will provide first line administrative support across the three functional areas, working with roughly 5 people. You will be highly organised, be able to prioritise your tasks and work with your different stakeholders when/where there are conflicting priorities. You will have an attention to detail and be comfortable spinning plates across different functional areas.

Working in a small team, reporting directly to our Head of Production, you’ll work with a level of self directed autonomy, whilst having the support of a line manager to agree priorities, as necessary.


Your mission is to ensure the smooth day-to-day running of the departments.

This is a permanent opportunity with an annual salary on £28,000


What you'll be doing

PEOPLE TEAM

  • Acting as the first point of contact for all people and payroll administration queries including how to use HiBob, reporting holidays and other types of leave, new starter first day queries,
  • Keeping our People Shared Drive and People folders up-to-date with all relevant legal documentation;
  • You’ll support the team with production hiring, from posting job adverts, setting up interviews, managing diaries and changes to appointments, as well as supporting the organisation and facilitation of recruitment days;
  • You’ll own the onboarding experience, including new joiner introductions and partnering with managers to create a well planned induction programme;
  • Daily management of the HRIS (HiBOB) ensuring live data is accurate and up to date. You’ll be a super user and train others on how to use the system
  • Working with the wider People team on company-wide employee engagement initiatives and people projects from an administrative support perspective
  • Supporting the team with some elements of ER administration including low level absence, performance and misconduct issues.

OPERATIONS TEAM

  • Invoice processing and reconciliation, ensure delivery notes match invoices and are correctly input into the system. This will cover invoices from our suppliers as well as customers and involve partnering between the ops and finance teams.
  • Ordering/stock management of office supplies and consumables, making sure we have all of the day to day essentials (both in the office and the kitchen) whilst ensuring we stay within budget;
  • Data entry and error checking of weekly stock takes; coordinate with our warehouse and buying team to ensure we have a clear and accurate stock position.
  • Input and administration of our PPM (preventative planned maintenance) system. This logs all maintenance and repairs of our kitchen equipment to ensure we are able to keep cooking.

What you'll need

  • You will be someone who is super organised and disciplined with your to do list and able to self-prioritise and/or discuss with your stakeholders when trade offs need to be made
  • High attention to detail with a track record of people administration
  • Experience in manufacturing/food production or a startup environment would be a bonus but not essential.
  • Strong appreciation for, and experience in building trusted relationships within the business; with leaders and managers at all levels from varied backgrounds and demographics
  • A genuine passion for putting people first, even when it's unpopular or uncomfortable from both a business or individual perspective
  • A curious mindset; always seeking improvement, whether that's to do with optimising processes, or fuelling personal growth
  • Great communication skills, with the ability to support people at all levels and advise them on different topics and challenges
  • Passion for our brand and mission to inspire the planet to eat more plants, creating a better world for people and planet
  • You are able to work from our office in Blackhorse Road up to 5 days a week
